November SAC minutes
No changes. M. Caito moved to approve, seconded by L. King, unanimous
approval.
Monthly Committee Reports
- Development – Sr. Christina provided a
list of topics of interest to her to Mike Malone. G. Hebert to
follow up with M. Malone to determine status.
- Extracurricular – Reviewed the St.
Joseph School Fun Clubs flyer. Everyone liked it a lot.
How to report on Extracurricular activity funds raised and expended
for individual clubs.
- Any physical items purchased by
clubs will become permanent property of the school. An example is
the “pinnies” that will be purchased for Micro Soccer program.
- Any leftover funds will be
transferred to SAC Treasury for use in supporting future Fun Club
program activities.
- All Club leaders must be reminded to
use the School NYS Sales Tax Exemption Certificate for purchases.
- Fundraising – Discussion on trying to
sell remaining holiday wreaths. J. Magee will attempt to organize
another sale after this Saturday evening mass.
- Public Relations – The PR report
showed a request for a digital camera. This was discussed at an
earlier
SAC meeting and a decision was made to defer this purchase until at
least next school year due to the tight budget situation.
A copy of the prototype school web site was shown. It looked great.
Compliments to the PR committee, Dane Overfield and the other members
of the web site committee. A tentative goal of going live before
Catholic Schools Week in January was established.
- Special Events – The students’
artwork cards were received. SAC members are looking for
parental
feedback on whether or not this activity should be repeated next year.
A discussion of Catholic Schools Week Open House was held. Special
Events and Welcoming committees will be teaming to support this
activity.
- Technology – NYS Software money was
reduced in the final NYS budget by about 1/3. Sister Christina
has specific classroom software she wants purchased to support
accelerated reading and math programs.
Sister Christina has submitted an application for the Federal “Erate”
program. This provides refunding of monies spent for
telecommunications facilities in support of schools. We will resubmit
to try to recoup some of the telecomm wiring expenses from earlier
this year.
- Welcoming – L. King moved with H.
Wager seconding funding an “Ice Cream Social” for the
Catholic
Schools Week Open House (expense of $200).
H. Wager will contact Perry’s to see if they will donate a quantity
of Ice Cream for the event to reduce expenses.
Budget Review
- Financial Report
- The Fundraising committee is
evaluating all potential providers of magazines for next year’s
sale to ensure we are getting a good deal, with lots of
selections.
- Update status of Glove/Mitten
fundraiser – This was seen as a very successful fundraiser. The
quality of the product was good. The return to SAC Treasury was
excellent.
- Review of any requests for SAC funds
requiring discussion. Some have been submitted. The process
appears to be working. Clarification on Treasurer’s role in this
process made regarding disapproval of requests that would be
budget busters.
Other Topics/Discussions
- Security Update
- Security walkthrough with Monroe
County Sheriff’s Department – G. Hebert and M. Antetomaso
participated in the Monroe Co. Sheriff’s security walkthrough of
the school and parish buildings on November 28. A list of security
issues was compiled. This needs to be prioritized.
- G. Hebert and M. Antetomaso will be
attending the Parish’s Building and Grounds committee meeting on
12/10 to review the results and request assistance.
- While several physical issues were
raised, it became very clear the biggest hurdle would be
re-educating everyone associated with the school on the needs for
security.
- Expect to see and hear a lot more
about security in the very near future.
- Rescheduling future SAC meetings
The February and May SAC meetings are being moved to the first
Thursday of the month to avoid conflicts with Valentine’s Day and a
school event.
- SAC bylaws
Sister Pat Carroll from the Diocese has promised guidelines for SAC
bylaws in the near future. These will be used as the basis to develop
St. Joseph School Advisory Committee bylaws.
- Diocese/LSAC Meeting
- Sister Christina and G. Hebert
attended a Diocese meeting with the SAC’s from about 30 schools
in Monroe County on December 5. The two major topics of discussion
were recruiting for schools and how to improve communications
between the Diocese and the LSACs. Sister Christina attended the
recruiting session and reported our school is in very good shape
regarding meeting Diocese recommendations.
- G. Hebert attended the
communications session. He brought several points to ponder. Many
will be discussed in greater detail at the January SAC meeting.\
- St. Joseph School is clearly blessed
with many parent volunteers and a solid SAC organization that
meets the school’s needs when compared to many other schools.
1. How could or should we communicate to other parishes that
provide students to our school?
2. What kind of “feedback form” could SAC provide to the
parents? Should a form be sent home late in the school year
seeking input on what worked and what didn’t?
3. What about providing an email address to send suggestions and
comments to?
4. Diocese would like to have SAC member pictures on a bulletin
board to ensure other parents know who to talk to on issues. (We
have discussed this before to include pictures of all the
teachers.)
5. We will begin to include a “Principal’s Report” in our
SAC meetings.
6. Should SAC consider requesting “Academic Reports” on items
of interest? For example, a discussion of the school results on
standardized tests, or DEAR (Drop Everything and Read) programs.
- There are two more of these
Diocese/LSAC meetings, February 26 and May 7. Details will be
provided as soon as they are available.
- SAC Meeting Agenda
We will get out SAC agenda a week sooner and have it published in
Sister Christina’s weekly newsletter in advance of the meeting.
Parents are to be reminded they are welcome to attend the SAC
meetings.
It was noted that the school would be CLOSED on December 21st.
