  • The meeting was called to order. October minutes were approved. Sister Christina Marie moved for approval, P. Moynihan seconded the motion. 
  • Monthly Committee Reports were discussed.
    • Fundraising 
      J. Magee was not able to attend the meeting, however she did submit a written committee report. The mitten sale at the Sock Hop was very successful. Additional sales at Parent/Teacher conferences and after masses will be held. The wreath sale will be the weekends of 11/24-25 and 12/1-2. Volunteers are needed to sell after mass. The Alumni Amerk Hockey game will be Saturday, 2/2. 
    • Public Relations 
      The School Family Directory is ready to be copied. A question was raised concerning the status of the purchase order approval. This is the first use of the new SAC Funds Request form and no one had received it. The family handbook will be updated over the next few months. Committee descriptions should be forwarded to P. Moynihan for inclusion in the handbook. The formation of a new school web site will be researched and worked on by a group of volunteers. Information is being provided by the diocese on whether St. Joseph School would have free host access for a non-profit organization. 
    • Special Events
      The note card fundraiser for the Carey family was well received. A gift was presented to Mrs. Carey on Friday, 11/2 during the First Friday Mass. The Halloween Sock Hop was great. A total of 494 registered to attend. A total of $1216 was raised for the school. 
    • Technology
      The Technology meeting was held on 10/16. The four new IBM computers will be placed in 5M and 4CA. The Compaqs in these rooms have been very problematic. There is still the issue of the new computers having Windows 2000 installed and not being able to utilize the available software that is WIN95/98. There are a couple of approaches that can be taken and there are mixed reviews of them. Further discussions will follow. A complete inventory of the school’s computers and related configuration information is needed. This would help in facilitating inventory and tracking processes. Asset tags should be affixed to all equipment. 
    • Extracurricular 
      S. Accorso was not able to attend the meeting. However, she is presently requesting information from parents regarding clubs and volunteer participation. 
    • Development
      M. Malone recently agreed to head up this committee. He will be meeting with Sister Christina Marie regarding her ideas and possible grant opportunities. 
    • Welcoming 
      The committee will be meeting later this month to discuss Catholic Schools Week and the activities that will be planned. 
  • The current budget status was discussed
      L. King was not able to attend the meeting but did provide a written report. 
    It was requested that all expenses being charged to a particular committee or planned expense line item be noted on all reports. 
    SAC will publish quarterly statements to all parents. This statement will include expenses, committee budgets and planned expenses. Sister Christina Marie will work with L. King to develop this format and to finalize distribution. It is anticipated that parents will receive statements during the months of December, March and June. 
    The only fundraisers that will occur for the remainder of the school year will the mitten sale, Christmas wreath sale, hockey game and the Barnes and Noble night. 
    IMPORTANT NOTE: Any one requesting funding for the School Advisory Committee must submit a SAC Funding Request Form. A copy of this form and the guidelines for submitting a request are attached to the minutes. 
  • Additional topics were discussed
    G. Hebert stated that he is still awaiting information from the Diocese on the committee by-laws.
     
    The tax-exempt form must be used for any and all expenses that will be funded through SAC. SAC can NOT reimburse anyone for taxes paid on purchases for the school. 
    The issue of school security was brought up due to some recent events at St. Joseph. Recently, there was the theft of a purse from a car in the parking lot during the lunch hour. Also, there were high school age kids (3 or 4) in the parking lot. Upon request to check the situation, Bud and Gary were in an altercation with the boys. Police were called and the boys were detained by the police. This occurred during the school dismissal time. Lastly, Sister Christina Marie was alarmed to find a male individual in the school building upon her arrival early in the morning a few weeks ago. Upon review of the building, it was surmised that this individual might have stayed in the building overnight. P. Moynihan was very concerned that faculty, staff and parents were not informed of any of the security issues. Sister Christina Marie will communicate these items to the parents in her weekly note home. 
    Based on these situations, a group of parents will be meeting to research our options and to meet with Fr. Kevin to determine what can be done to aid in the safety and well being of our children. The Monroe Co. Sheriff’s Dept. has been contacted to see if their Crime Prevention Officer can visit to provide some insight and direction that might be taken. 
  • H. Wager with P. Moynihan seconding moved the meeting for adjournment. All approved.
